Shared File Growing Massively

  • Hi all


    I have been reading up about shared workbooks within here which quite frankly is annoying me! I have rebuilt a spreadsheet from yesterday and shared it with:


    Dont Keep change history
    Update changes when file is saved
    The changes being saved win


    At start of day the file is 660kb, now by lunchtime I have it as 15mb. Does anyone know why this occurs? Becuase the file is getting bigger this is affecting performance

    If your file is getting that Large half way through the day i'd use Access or SQL Server as a back end...


    excel isn't one for handling Larger amounts of Data

    That is not an acceptable option for me at the moment as a large amount of devlopment has been sent getting this to work. There are only two problems which I have to solve


    1. Sheets getting locked and sharing violation errors
    2. The size of this file increasing


    If I unshare the book and reshare again - the size reverts back to around 650kb. I need to understand why this is occurring? The file isnt actually that large - maybe 4 users inputting into 2000 cells, and another 10 users going in as read only and taking a copy of the information. I was expecting maybe some maintenance once a week, but I cant do this intra day. I understand what you are saying, but is there no know solution? If not, the whole concept of shared workbooks is really pointless (a slight side issue, but if up to 256 users can be in one file, that file could never be really saved as it would lock all day).


    Really any help on this is duely appreciated

    Are you sure that all users have the same settings?


    I tried a share workbook on three machines and had the advanced option set differently in each PC.

    Ahh, ok. I thought that the workbook shared option was the same for everyone. Is this not the case? Do I have to manually go round and change it?

    I thought as well it would be the same, but a quick check has shown me something different. Just in case, it is better to proof a couple of them.

    I have just been round to all the input users - they are all on the same setting. Indeed the history setting is greyed out so they cant even change it???


    Apologies for my haste, but I need to solve this problem asap.

    Ok I have had to rebuild the sheet from scratch and monitored the file size. The first user changed 50 cells and then saved - file size jumped by 5mb. When I looked at the sheet it seemed to have tracking changes switched on, yet when I go to his profile the changes are disabled.


    Can anyone please assist me on this?

    Ok, is there a way of COMPLETELY disabling track changes in a shared workbook? I might be being thick but cant seem how to do it.... I am sure that it is this that is causing the file to balloon

    Ok I really dont understand this. All users are set to "Dont keep change history", but the keep change history option is greyed out. I then select track changes and I can see all the user changes? Surely I shouldnt be able to do this???


    Sorry I really am stumped now and google searches are not helping me.

    Hi all


    After a stressul day, it appears that the problem was a macro importing information into a hidden sheet which had a lot of "white space" taking up the room (ie the whole sheet was being copied and stored rather than just the information). Disabling this macro has meant the process now works.


    However, it still seems that changes are being tracked so will have to investigate that.... It seems that "shared" access has a whole set of rules which the guys at microsoft havent fully thought about!
