Formulas : Excel Time Card

  • Ok, here goes... I am at work trying to figure out how to get Excel to recognize the 24hrs in a day. What I have to do is, make a time card that would reflect that if a person has 34+ hours off their time would recycle back to 70. Reason? I have to keep track of this in Excel. To comply with Washington Law our drivers cannot work more than 70 hours without time off. But if they have 34+ hours off then the cycle starts all over again and they have a pool of 70hrs to work from. I hope this makes sense. So I need a formula or an idea of how to make this happen in Excel! Please Help!

  • The secret is to format your cell as [h]:mm using FORMAT > CELLS > NUMBER >CUSTOM


    That's how cell A3 below is formatted. Cells A1 and A2 have standard date formatting with 13:30 to include timein the display.

  • Addendum: By the way, please note that the value of cell A3 is actually 3.54 (Excel tracks dates and time as numbers. One day = 1.0000 and an hour = 1/24, etc.)


    34 hours = 1.416666667


    To do math with A3, you'll need to be consistent with Excel's stored value. Working with time in Excel can be tricky until you get used to it.

  • Ok so here is what I am getting

    4/11/2004 8:00
    The First column is the time in and the second is time out. The 23 and 10 that you see between the lines are the calculations of A - B. Such as A2-B1=23 which is great! But why is A3-B2=10? 4/11/2004 is 3 days from 4/8/2004. It should be more like A3-B2=58. What am I doing wrong?

  • You need to put the brackets around the hours in your cell formatting (as in my first post). This tells Excel to display more than 24 hours. You get ten because you are not displaying the days. Format the cell as a number and you'll see how Excel is treating it in memory (versus how it is displaying it.)

  • I am very confused as to how you have your display cell formatted. Select the cell and from the tool bar:


    FORMAT &gt; CELLS &gt; NUMBER &gt;CUSTOM &gt; and type [h]:mm (and only that) into the "Type" window. Click "Ok" and your cell should display only hours:minutes.

  • You should leave the in and out times formatted mm/dd/yyyy hh:mm but the cell where you calculate the difference should be formatted [h]:mm.


  • Try the following. For your data as you describe its setup in the previous post referenced here, in cell d3 (or some other unused cell) enter:


    =sum(C1:C2)*24


    Format this cell as a number rather than as time. You should get the number of total hours you expect from C1 and C2 regardless of how C1 and C2 are displaying.


    BTW: commonloon has stated it correctly and probably much more clearly than I did. (And personally I do not think there is such a thing as a "common" loon even if that is a recognized sub-species. Golly, I haven't had the plasure of hearing their solitary cries for a few years now. Sure do miss it.)

    I just want to add something I find useful when dealing with time issues. Change to the Macintosh date/time system in tools-alternative-Calculation. This enables you to have negative time values, which can be very convenient.
